Project Overview
Deskonium was a redesign project of an existing office management tool that is used by employees for reserving desks and rooms within the office space.
Challenges
The challenge was to redesign of an online desk booking and office management system that is intuitive, user friendly and visually appealing.
Goal
The goal was to improve the tool's usability, enhance the user experience, and streamline the desk and room reservation process for employees.
My Contributions
I was the (Lead) UX/UI Designer for this project, working closely with a cross-functional team, including Developers, Product Owners, Scrum Masters, and QA Testers. I began by conducting a heuristic evaluation of the existing tool to identify major and minor usability issues, as well as areas for improvement. Next, I performed a competitor analysis to understand industry trends and identify best practices.
Since the tool was designed for our employees, I focused on understanding their needs and pain points by conducting interviews, surveys, and usability tests with the existing tool. I analyzed the data and synthesized the insights into a comprehensive presentation, which I shared with my team and the broader organization.
Key findings revealed significant usability issues, including complicated navigation, lack of system status visibility, poor error prevention, and dissatisfaction with the interface (over 90% of employees expressed dissatisfaction). These issues led to abandonment and contributed to an unorganized office environment.
Although users were able to complete their tasks, the process was inefficient and frustrating. To enhance the user experience and create a consistent, seamless journey, I developed a design system based on atomic design principles and aligned with the company's brand guidelines.
I also ensured that the design adhered to accessibility standards by adapting the brand colors accordingly. The design was created before the rebranding of company.
For each location, I collaborated with office management to obtain floor plans, which I recreated in Figma to provide users with a realistic view of the office layout. This approach helped reduce errors and simplified navigation within the office.
